The responsibility of maintaining official City Records and Documents is that of the City Clerk.

FREQUENTLY ASKED QUESTIONS:

Q. What is Records and Information Management?

A. It is the cost effective, systematic maintenance, control, and retrieval of records from their creation or receipt to their ultimate disposition.

Q. What are public records?

A. Documentary evidence, regardless of the physical form or characteristic, received or generated in the transaction of business, and managed according to federal, state, and local laws.

Q. What kinds of records are available through the City Clerk’s office?

A.Minutes of public meetings: City Council, Boards & Commissions, and Committees.
Ordinances and resolutions.
Contracts and agreements between the City and other parties.
Public meeting notices, agendas, and supporting documentation.

Q. How do I get a public record?

A. If you are looking for active (current) City records, contact the department of responsibility: Administration, Police, Community Development, or Finance. If you are unsure of which department to call, contact the Clerk’s Office at 393-9427.

Q. How long does it take to get a public record?

A. The Freedom of Information Act allows the City up to seven working days to fill a request for public records. Additional time may be requested in writing.

Q. Can the City deny a request for a public record?

A. The City is not required to create a document that matches the information someone requests. It is only required to provide documentation that already exists. The City may ask the person to narrow their request or make it more specific if it is too broad. Certain confidential records are not available such as employee personnel files or closed session minutes.

Q. How much does it cost to get a public record?

A. Copies, based on the City’s fee schedule, are charged at $0.25 cents per page. The fee schedule can be found on the City Clerk's page.
