Meeting Rooms

The Warrenville City Council has made a concerted effort to make Warrenville’s public buildings open to the public. Toward that end, organizations can use the City’s public meeting rooms at City Hall and at the Police Department free of charge. To reserve the Council Chambers or Gallery Conference Room at City Hall, contact the Administration Department at 630/393-9427 at least two weeks in advance. The Police Department Sonny Mack meeting room can be reserved by contacting the Police Department at 630/393-2131.

To use any meeting room, an application is required. Use of the rooms must adhere to the use policy and abide by any restrictions. Meetings/events will be scheduled on a "first come" basis. 

PUBLIC MEETING ROOMS USE POLICY 

Two rooms are available for public use, seven days a week. 

  • The Council Chamber consists of a formal dais with seating for 15 and seating for approximately 50 in the audience area. 
  • The Gallery Conference Room consists of a conference table for 14 people and additional seating for 8.
  • The Sonny Mack meeting room holds about 25 people.

City Council, Commissions and staff have first right of access to meeting rooms and may relocate outside groups.  In such instances, the group coordinator will be notified.

Use of the meeting room(s) is intended for community groups, service organizations, homeowner associations and other local government districts.

Room capacity must not be exceeded.

Groups are responsible for cleaning up, straightening chairs, replacing furniture in their original locations, wiping off marker board, turning off lights, locking the doors, removing garbage, and locking the building.

The group coordinator, who must sign out the building key, is responsible for the actions of the group, including security of the building and setup/cleanup.

No lit candles or open flames are allowed inside the building.

Groups are not permitted to adjust the thermostat.

Electronic equipment in the room cannot be used.

Food and drink are allowed on a limited basis; any spills or stains are to be cleaned up by the user. No alcoholic beverages allowed.

SONNY MACK MEETING ROOM GUIDELINES

The room must be returned to its original state. Tables and chairs must be placed in their prior arrangement. Clean sink area, wipe counter top and wipe marker board.

The coffee maker may be used, but groups must furnish their own supplies. Turn off coffee burners prior to leaving the room.

Electronic equipment is not available for public use.

Groups are not permitted to adjust the thermostat.

Remove garbage bags.

Notify desk personnel of any problems and/or damages.
